DRAFT Minutes of the meeting held on Tuesday, the 22nd February 2022 at the Admirals Table, Bridgwater

Present Roy Parmiter (Vice President & Chair), Bob Acland (President), John Beer, Stephen Butterfield, David Andow, Rob Ford, Iain Robertson

  1. The minutes of the previous meeting were accepted as a true and accurate record, subject to the following corrections
  • Page 2, item 4C, 2020 should be 2022
  • Page 3 (halfway down) “counters” should read “counties”
  1. Matters arising secretary confirmed they have invited Tony Mason who has now accepted a dinner invitation but he is unable to play golf Secretary had emailed Proquip asking to set up a business Account but it had no reply. The initial letter from the President to new Captains has not been used in 2022 because contact is already been made will be used for the first time in 20203

Stephen Butterfield had nothing new to report but did refer to the SGU AGM which confirmed a rebate of £3 per head for members of affiliated clubs in 2022

Stephen Butterfield confirmed we now had 117 captains paying to attend the dinner plus 13 guests bringing the total to 130. Menus and place cards are ready for collection. Stephen will speak to Somerset Cricket Club tomorrow regarding the table plan. Stephen has decided not to play golf on the Friday so that he can spend the afternoon at the Somerset Cricket Club. We agreed the groups = 4 fourballs for Golf at T&P at 11 am on 4th March. There are lots of televisions in the room and we could use it to put up photos for display during the meal:  Action John Beer to load selection of photographs onto a USB stick. Confirmed VIP bar will be downstairs and open from 6:30 pm;  members of Somerset Golf Captains will be meeting upstairs. President confirmed he intended to refer to ‘absent friends’ in his speech and also welcome the new Captains by name Action: President asked John Beer and Rob Ford to liaise with each other with regard to the sale of bow ties and to the collection of names of new captains to be read out i.e. Captains of Golf Clubs in 2022 i.e. new members of Somerset Golf Captains. Bob will also mention the 2021 captains who were not welcomed last year when we didn’t have a dinner.

Treasurer’s Report

Treasurer confirmed a bank balance of £9129 including about £2000 of dinner ticket sales. Treasurer asked for confirmation that the Spring meeting will be charged at £35 (ahead of proposal to increase to £40 to go to the AGM committee). Agreed that the Spring meeting charge would be £35 per head. Treasurer also queried the cost of the Captains Day and John Beer confirmed the cost. Action this information to b emailed through to David Andow and Iain Robertson. Committee agreed the new treasurer Paul Chesney will be invited to the next meeting prior to the AGM.

Administration

Fixtures 2022: Iain Robertson confirmed the fixtures for 2022. Iain also confirm that he expected we will be have to pay a larger green fee in the following year. He suggested we may have to consider the format for the day e.g. do we have to have a meal before matches or could we have bacon baps and coffee . Noted that Weston-Super-Mare has reduced their green fee contribution but  this will increase next year 2023 . Fixtures for next year are starting to come together. Roy Parmiter asked about the matches which are paid on a 50-50 basis i.e. do we ask for the counters to pay a green fee? Bob Acland suggested that we needed to have a discussion with them during the course this year. We discussed the arrangements for the “Four counties” event in 2023.Noted that Burnham & Berrow has not replied to any emails so the committee agreed that we will try to host the event in 2023 at Mendip Spring Golf Club partly because this would be Bob Acland‘s final year as President and also that David Bate would be Captain. Action Bob Acland and Iain Robertson to liaise with Mendip Spring Golf Club. We also discussed the possibility of Somerset posting the “Six Counties” in 2024 which will be held in the door Devon at Stover in 2023. We decided that we could not accommodate 6 teams of 24 players (which needed a club with two courses such as Saunton or Cumberwell Park . It may be possible for Somerset to host with only 12 players per team.

Secretary circulated the list of new captains for 2022. Secretary agreed to send a tie and letter of introduction to Roy Parmiter to be passed on to Tommy Tulk, even though Tommy took up position in January 2022. Bob Acland asked Secretary to update the list of new captains to replace the spelling of the captain “Yeats” with the name “Yates” and to also record that in future Mendip Spring can be invoiced for the life membership on the same basis as members clubs. Committee also discussed who should be invited to play at the members invitation day and agreed that this should be clarified at the AGM or on the website. Action to be discussed at the next meeting

  2. Iain Robertson informed the committee that a Past President has not been very well and has now started a period of chemotherapy
  3. Secretary to email out notice of the AGM 28 days before the AGM i.e. by the 15th of March and invite members to submit issues for discussion 14 days before the AGM i.e. by the 29th of March
  1. Date of next meeting Thursday, the 7th of April at 7pm i.e. post dinner review and pre-AGM/spring meeting.
