Minutes of the Somerset Golf Captains Executive committee meeting held on Tuesday, the 1st of November 2022

Present: Roy Parmiter (Vice President & Chair), Bob Acland (President), John Beer, David Andow, Iain Robertson, David Bate, Rob Ford

  1. Apologies; Paul Chesney
  1. Minutes of the last meeting held on the 13th of September 2022 were accepted as a true and accurate record
  1. Matters Arising
  2. The committee accepted the list of completed actions previously circulated by the Secretary
  3. President confirmed that an order that now been placed for the pop-up banners : delivery in about 10 days time.
  4. Following consultation between the President and the Vice-President, an approach was made to a past Captain from Enmore Park who has accepted the invitation to be Captain Elect in 2023 and Captain of Captains in 2024. The President asked the Captain Elect to invite him to join the dinner committee which he will chair in 2023; and will be co-opted onto the main committee after the AGM.
  5. Accommodation for speaker to be booked at the Premier Inn (East), Bridgwater Road. Taxis to be arranged. Collection from the hotel at 6 pm; return at 11.30 or 11.45. Secretary reminded the Committee that the information sent out to members indicated the event will start at 7pm for 7:30 pm.
  6. A list of dinner contacts has still not been produced. Nothing has been received from previous post-holder.
  7. Warwickshire definitely want 16 players. Shropshire have tried to change the venue but now confirmed the match will go ahead at the original venue.
  8. Members to be informed that no wine will be provided on tables in 2023 in next Newsletter.
  9. item 19 agreed to have another stock take at end of December.

 

  1. Captain’s Report – (Rob Ford)

 Nothing much to report. Captain went to the Sussex dinner with Secretary at the Dale Hill Golf & Country Club which was a very good venue. Captain and Treasurer went to the Surrey dinner at Sandown Park which went very well. Captain confirmed that he had had a very enjoyable year. Vice President congratulated the Captain and told him he done very well.

  1. Carlyon Bay Away Weekend 2023 (David Bate)

Captain Elect confirmed that he had drafted an email which went out and was placed on the website. So far, we have 30 people who said “yes” plus a few others have said “no”. Captain Elect thinks we could get up to 40, which would make the weekend viable. The hotel will keep the booking until the end of December. Captain Elect proposed to give it a go and Committee agreed. Captain asked what would happen if we book for 40 but don’t get 40? David explained that this would not happen; because people will be asked to book directly with the hotel themselves.  Action: Captain Elect to write directly to those who had expressed an interest;  global email to go out to the other Captains. Captain Elect drew attention to one financial liability for Somerset Golf Captains i.e. the cost of the minibus to transport the non-playing partners to a local place of interest.  Action: Captain Elect to secure quotes.

  1. Reports from Sub Groups (& not appearing elsewhere on the agenda)

Dinner planning (Captain Elect)

Nothing further to report action. Action: (i) Captain Elect to book a hotel room for the speaker. (ii) Captain Elect to book taxis (iii) Next visit to the venue early December. Already had contact from six clubs: Stockwood Vale, Worlebury, Long Sutton, Enmore, Cannington, Mendip Spring. Committee asked Captain Elect to ensure that he contact Cricket St Thomas. D Captain Elect asked for guidance on the process for the club dinner coordinator. Committee confirmed that the coordinator would usually collect the money and then transfer to Somerset Golf Captains.

Finance Group (Treasurer)

Treasurer confirmed that everything is going well. Glenmuir invoices have been paid.  Virtually at the end of spending for this year. One or two invoices still to come in. Two outstanding deposits. Treasurer draw attention to spreadsheet and confirmed that we can change the figures and adjust it as we go along. Fixture Secretary confirmed that we won’t know the actual cost of the matches until next year. The general consensus of the committee was to keep the match free £40 for the time being. Captain Elect asked if these figures include the cost of wine and the treasurer understood that they did. Vice-President pointed out that only one match in excess of £40. Secretary drew attention to the fact that some figures in the spreadsheet were wrong:, Committee agreed that Treasurer needs to discuss these figures

Administration Support Group

  • Fixture Secretary asked Secretary to confirm that the date for the Captains Invitation at Oake is now fixed (20th of June) which it is. Also asked president to confirm that the date of the Four Counties was agreed on the 13th of June at Mendip Spring which it is.
  • Secretary confirmed that the process of recruiting new captains had begun. Contact has already been made with six different clubs and four commitments to join have been received from Mendip Spring, Salford, Wells and Long Sutton. Treasurer pointed out of the Weston-Super-Mare AGM takes place on the 15th of November and they will need a letter of introduction and a tie before then. Action; Secretary to contact Weston-Super-Mare Golf
  • Inter County Challenge: Secretary confirmed we had responded to an email to confirm that Somerset were interested in the interclub challenge to be held at St Mellion on October 2023. Final decision would be based on whether we could recruit sufficient numbers. Captain Elect asked how we would select the team. Vice President confirmed that we would collect registrations in the same way and then select a strong team based on those people who were available, in the same way as we do for the Four Counties.
  • Four counties: committee agreed to the proposal to raise the handicap limit to 24 presidents. Action: Secretary to confirm with Berks. Secretary also confirmed his understanding that this was originally intended as an opportunity for officers from each of the Four Counties to meet socially and play golf; in recent years, Somerset has chosen the strongest team available.
  • Attendance at other County Dinners: committee agreed representative to attend the South Wales Coast dinner in Cardiff on Friday 17th February
  • Identity of the incoming Captain-Elect to be kept secret until the AGM.

 

  1. Any other business

President raised the subject of the resignation of the secretary who is standing down and the need to find a new secretary. Secretary has indeed provided details of the current role and recommended it split the role into two:  Secretary and Webmaster (if we could find someone). If the committee agreed, then we are looking for a website manager.

 

  1. Date of next meeting

Wednesday the 14th of December at Oake Manor Golf Club; for breakfast, a  round of golf and a brief meeting afterwards.
